Why Dogma?
Administrative procedures begin and end with documents and in most cases receive or generate additional ones throughout the process.
Management software applications (ERPs, CRMs, legacy apps) guide the process, generally on the basis of data manually entered by users.
When documents are digitised, the administrative process/document relationship is limited to a link.
Not all affected parties are management app users, and files and case localisation and searches are limited to just a few fields.
The difficulty in quickly retrieving knowledge around files, projects or invoicing ultimately results in new modification requests regarding management systems, leading to additional costs, increased maintenance outlay and a perception that runs up against the organisation’s ideal of a digital business.

Files, contracts and minutes, invoices and delivery notes can be scanned and entered in computer systems, but getting to them, as the final containers of the real information, can prove unwieldy and inoperative. If the only pathway is the management app that references it, the fields that characterise the sought information are usually limited with regards the scope of information contained in the documents.
Providing a single point where any case can be found and locating it with flexible search criteria is an ongoing demand in organisations and a constant pressure on management systems.
Integrating the process and its documents
Metadata had to be enriched in the process flow, adding all the knowledge that is often left out of management systems.
Input ability and automation become key points and access to them must be dynamic and actionable at any time throughout the process.
All document capabilities, for video and audio too.
Multimedia documents must be able to be processed the same as their text-based counterparts.
Not just in the media sector. The current ease of generating multimedia content increases the number of cases in which these formats can be incorporated.
Engagement with user groups
In most administrative processes, management system users represent a minimal part of total users affected or involved in processes.
For questions of licensing, position, ease of access, etc., the use of management systems fails to cover a good number of users who should be able to query content.
It was necessary to make sure that real user groups could access searches and analyses, with due security measures, control, auditability and particular limitations or ones already described in the user management systems (LDAP, Active Directory).

Focused on effective digitisation
Having a digital image of the document is not enough. The ability to access information comes from correct metadata indexing.
The image of the document, with metadata incorporating its content and, where applicable, the reference values for the management app, enables searches and analyses that reach beyond the limits of ERP, CRM and the other systems and in-house developments with which Dogma is integrated.
Input automation
Automated input processes covering digitisation, OCR, metadata construction and indexing are essential in both platform implementation and life cycle.
Total process orientation
Dogma aligns with the process throughout its life cycle, regardless of whether it is delivered with the assistance of third-party apps or directly by users.
Integration capabilities and their coexistence with the possibility of direct access by users are key to meeting objectives and challenges.
For users it is a unique point to be found, irrespective of the application the issue is being managed with.
SAP integrations
Strong SAP market penetration led us to focus particularly on this integration, providing valid conclusions we then mainstreamed across both integration APIs and other capabilities.
Each SAP-generated document (invoice, delivery note, order, etc.) is indexed and described by its metadata, providing a simple and direct entry point and query channel that can be integrated into publication processes.
Other integrations
Servers/certification bodies or centralised user management systems on which we base our single sign-on capability are some of the other integrations onboarded to provide full process coverage.
Integration API
The resources and services Dogma enables are available for direct consumption by users and other systems. In addition to the more generic or standard integrations it includes, and others that have been emphasised for their strategic nature, Dogma has an integration API that opens up its full capability to third-party apps.
Multimedia documents (video and audio)
The knowhow gained from our Dogma platform in the media sector meant we could deliver on this aspect with an additional level of specialisation.
Security
Guaranteeing access only to the information each user is authorised to have, or even part of a document or information, is a core plank for building the central information infrastructure on Dogma.
Certified traceability
Many scenarios demand the need to stamp downloaded content to certify an identity or time. E-invoicing and nondisclosure management assurance are just some of the areas that can benefit from these capabilities.
Collaborative environment and analysis capacity
The capacity for platform users to collaborate and communicate, or get statistical analyses or exports targeted at other analytical approaches, round out the main features on which we posited our results.

Tracking guarantee for users
A single point houses all information and searches can be expanded across the entire content, pushing past management system limitations in terms of search capability and content users, who are not the users of the management systems or apps. This powers simpler and more direct access with a bottom-up approach to the architecture or functional organisation of management apps.

Reducing management system users to more dedicated profiles, separating groups of occasional users or those limited to querying and reporting, can deliver significant savings in licensing costs and system sizing.
